A certificate request comes in by email, form, or website. The requester is verified, the holder and wording read, the insured and policies matched, and the ACORD 25 drafted from the coverages actually on file. Any holder requirement the insured does not carry is flagged. A licensed person reviews and sends.

Quoting intake and ACORD generation
Guided intake for personal and commercial prospects from the website, a link, or a phone consultation. The right follow-up questions get asked, the data comes out structured and complete, prefilled from a declarations page where one is provided, and commercial submissions are drafted as ACORD applications. Everything lands in one lead inbox.
Complete when a prospect is entered once and the producer starts from a complete file, not a voicemail.
Billing and retention monitoring
The daily carrier non-pay and cancellation notifications are read into one morning view of every policy pending cancel. The follow-up to the insured is drafted, tied to the policy and the amount due, for licensed review and send. Handled items are marked.
Complete when no pending cancellation is discovered after the fact.
Guided intake that asks what the carriers will ask.
A prospect on the website at 8 PM on a Sunday is walked through the follow-ups a producer would ask: class, sales, payroll, liquor, prior carrier, and comes out as structured data ready for the rater and the AMS. Commercial submissions are drafted as ACORD 125 and 126. The producer opens a complete file Monday morning.

Carriers send non-pay and cancellation notices by email and portal, one at a time, across every carrier the agency writes. The monitor reads them the morning they post into one list: insured, policy, cancel date, amount due. The outreach is drafted for each, tied to the specific policy, for a licensed person to review and send. Handled items are marked so the same insured is never contacted twice.
